How to process credit cards offline with Heartland Restaurant?

Offline Credit Card Processing

In the event your internet service provider or credit card processor is ever down for an extended period, the Heartland Restaurant POS system can be set to process credit cards offline. Please note when this is enabled it is not possible to manually type in a credit card number for phone orders, etc. and all credit cards must be swiped on the card reader attached to the iPad, not the optional chip reader payment device.

How to Enable Offline Credit Card Processing

  1. Log in to each iPad running the POS app
  2. Press the icon in the top right corner to bring up the function menu
  3. Press [Manager]
  4. Press [General] on the left side of the screen

The General menu lists options that can be turned on and off as needed by pressing the icon on the right side of the screen.

  1. On the line that reads “Force Offline Credit Card Processing” touch the icon on the right side of the screen so that it is on (circle to the right)
  2. Press [Exit]
  3. Press [Logout]

The iPad is now in offline credit card processing mode. Please note you must repeat these steps for all iPads running the POS app. A special indicator will appear at the top of the POS app in the shape of a triangle with a $ symbol as a reminder that the iPad is in offline credit card processing mode.

How to run a Credit Card During Offline Credit Card Processing

  1. Log into any ticket
  2. Press [Checkout]
  3. DO NOT PRESS THE [CARD] BUTTON
  4. Swipe the credit card on the card reader attached to the iPad

The payment will appear at the bottom of the ticket. Repeat this for any separate checks within the ticket and close the ticket as normal. Please note all tickets that are paid by credit card in offline credit card processing mode will appear with the “purple” color within the Search tickets view. All purple tickets will remain in the system (even after the system performs the automatic End of Day) until they are later authorized after the internet and/or credit card processor is back online.

How to see a List of All Tickets Processed in Offline Mode

  1. Log in to the POS app
  2. Press [Search] in the bottom left corner
  3. Toggle [My Tickets] off or on as needed
  4. Press [Status]
  5. Press [Offline]

This will list any purple tickets that were paid with a credit card in offline mode. These tickets need to be authorized later after the internet is back up. Please note after the internet and/or credit card processor is back online, purple tickets cannot be authorized until you disable the “Force Offline Credit Card Processing” in General options.

How to Disable Force Offline Credit Card Processing

After you have confirmed the internet and/or credit card processor is back online, please follow these steps on each iPad.

  1. Log in to each iPad running the POS app
  2. Press the icon in the top right corner to bring up the function menu
  3. Press [Manager]
  4. Press [General] on the left side of the screen
  5. On the line that reads “Force Offline Credit Card Processing” touch the icon on the right side of the screen so that it is off (circle to the left)
  6. Press [Exit]
  7. Press [Logout]

How to Authorize Purple Tickets AFTER the Internet and/or Credit Card Processor is Back Online

Please make sure the internet and/or credit card processor is back online and you have disabled the Force Offline Credit Card Processing option on all iPads.

There are two different ways to authorize a purple ticket:

1. Manually one purple ticket at a time

  1. Log into each purple ticket
  2. Press [Checkout]
  3. Touch the offline payment listed at the button of each ticket
  4. Press the [Authorize] button that will appear to the right. Please note if the [Authorize] button does not appear then simple press the [Tip] button as this indicates the ticket only needs to process the tip.
  5. Repeat this for any separate checks on the ticket

Once the purple ticket is authorized it will disappear from the list of purple offline tickets.

2. All purple tickets at once

  1. Log in to the POS app as a Manager
  2. Press the icon at the top right corner to bring up the function menu
  3. Press [Manager]
  4. Press [Daily Review] on the left side of the screen
  5. Press [Tickets]
  6. Press the button for authorize all
